Agenda for Planning 2014 Gratitude Event

Agenda including some new elements this year,

1. Asking you to recommend new / additional nonprofit organizations for us to invite
2. Send out / monitor invitations, ask for additional non-profits from our invited people
3. Follow up with two or three non profits to confirm attendance – – – can everyone please adopt a call or two?
4. Asking you to call a local business for food, wine and beer donations. (Sari suggested Chadds Ford Winery) – please RSVP with the name of the business you would like to outreach to, or we can, will provide you with one to call
5. Bartender volunteers – I’m thinking three so there is a team and can help each other out. Bartenders to help Sari to coordinate how we run the “purchase a band or a punch card” for drinks  Also ask bartenders to make a wall sign.
6. Brainstorm floor plan this sunday
7. Asking invited non-profit representative  to describe their program to the group using no more than 17 words – each group will have a written blurb (100 words?) to write, that will be printed in the….
8. ..event program – a folded over paper program – that we will post: on our website, on our TTM Swap page and other pages, which should have a readership of at least # ? not sure of the #, but its a lot
9. Music – I would love to find a local band that would appeal to The Younger Crowd – any suggestions?  Also, we need someone to take the lead on this for the event – who would LOVE to help find us some good music – or shall we invite everyone to bring a musical instrument?
10. Promotions, fb, press release, website, paper program – I need someone to work with me on this this element
11. Tables – Someone please volunteer to help me schedule, organize workshop to prepare table top elements, signs for the event
12. Table Hosts – this year I’d really like to lead with this – have a TTM Rep per table, have TTM brochures on each table…
13. Two or Three people to organize and attend the food tables and recycling – and a question – we have access to the community center dishes – do we just want to use them?  Maybe we can get someone from the Borough to show us how the dishwasher works – and maybe we can get some teenagers to come work in the kitchen at clean up time to help us – I will be part of a clean up team
14. Candles – At Chris Martin’s special request – there are more candles this year – and there will be no strings of lights – unless someone else wants to take responsibility for them – 1/3 are missing, 1/2 don’t work – I’m ready to stop using them… esp now that we have More Candes!
15. Emcee – I’ve asked Joni Carley to emcee the event – Ellen- would you be willing to create a 17 word “TTM Vinette” (or Haiku) on behalf of the organization? I would like to say on our invite: arrive at 5;50, candles lit at 6pm, I will provide a 1 minute welcome and ask Joni to read our words of gratitude
16. Gratitude Prayer – it doesn’t have to be a prayer – but it could be – or a quote that you love and expresses what you believe we all have to be grateful for, or about, or with…
17. Follow up meeting in January – here at my house  – to say what was a yes and what was a not so hot!
